Getting Started
Getting started is simple. Schedule a free 30-minute consultation through our contact page or call us directly at 571-246-6704. During the consultation, we'll review your current billing setup, discuss your needs, and outline a customized solution. If we're a good fit, onboarding typically takes 5–10 business days.
Most practices are fully onboarded and billing within 5–10 business days. We handle all the data migration, system configuration, payer notification, and staff training. You continue seeing patients while we set everything up behind the scenes. You won't miss a single billing cycle.
We'll need provider credentials (NPI, taxonomy codes, state licenses), current payer contracts and IDs, access to your EHR or practice management system, and your existing billing data (if transitioning from another biller). We provide a complete onboarding checklist so nothing is missed.

Pricing & Fees
We charge a percentage of collections — typically between 5–8% depending on your practice size, specialty, and billing complexity. There are minimal setup fees, no monthly minimums, and no hidden charges. You only pay when we successfully collect for you. This alignment of incentives means we're always motivated to maximize your revenue.
Minimal setup fees. We do ask for an initial service agreement, but we don't believe in locking you into long-term contracts. Most clients stay with us because of results, not because we've made it hard to leave. We operate on 30-day notice terms after the first 90 days.
In most cases, yes. When you account for the full cost of in-house billing — salary, benefits, training, software, and the revenue lost to billing errors and uncollected denials — outsourcing typically results in significant net savings and higher total collections. Our clients average a 25–35% increase in collections within the first year.

Technology & Systems
We work with all major EHR and practice management systems including SimplePractice, Therapy Notes, Kareo, Office Ally, AdvancedMD, Practice Fusion, Valant, and more. If you use a system not listed, contact us — we can almost certainly accommodate it. We never ask you to change your EHR to work with us.
All data sharing is done through HIPAA-compliant, encrypted channels. We'll work with your existing EHR's secure sharing mechanisms, encrypted file transfer, or a HIPAA-compliant cloud storage solution — whatever is most convenient for your workflow. We sign a Business Associate Agreement (BAA) with every client before accessing any patient data.
Yes. Depending on your EHR, you'll have access to real-time claim status through your existing practice management tools. We also provide comprehensive monthly reports covering AR aging, collection rates, denial rates, and revenue trends. And your dedicated account manager is always available to answer specific questions.

Insurance & Billing
We work with all major commercial insurance companies including Aetna, Blue Cross/BCBS, UnitedHealthcare, Cigna/Evernorth, Humana, Tricare, and hundreds of regional plans. We also handle Medicare, Medicaid, and CHIP billing. If a payer exists, we can bill them.
We treat every denial as a recovery opportunity, not a dead end. We analyze the denial reason, correct any errors, and file a timely appeal with supporting documentation. If a denial requires clinical records or a letter of medical necessity, we coordinate with you to gather what's needed. We appeal aggressively and track every appeal through to resolution.
Absolutely. Insurance credentialing is one of our core services. We handle the entire application process — CAQH profile setup and attestation, individual payer applications, follow-up with payer credentialing departments, and effective date tracking. We keep you informed throughout the process and alert you when you're cleared to bill with each payer.
Yes. We create professional, complete superbills for out-of-network providers so patients can submit to their insurance for reimbursement. We can also help you determine if direct out-of-network billing (submitting on the patient's behalf) makes sense for your practice and payer mix.

Privacy & Security
Yes, fully and completely. HIPAA compliance is the foundation of everything we do. We sign a Business Associate Agreement (BAA) with every client, maintain strict access controls to patient data, use encrypted systems for all data transmission and storage, and conduct regular security reviews. Patient privacy is not just a legal obligation for us — it's a core value.
Only billing staff directly assigned to your account have access to your patient data — and only the minimum necessary to perform billing functions. We never share patient information with third parties, sell data, or use your information for any purpose other than billing on your behalf. Access is logged and audited regularly.
